2. Help understanding your rights

The Information Regulator publishes a PAIA guide in South African languages and the prescribed forms. You can ask our Information Officer for help obtaining the guide or identifying the records you need. For general assistance, contact the Regulator at enquiries@inforegulator.org.za or 010 023 5200. Its address is Woodmead North Office Park, 54 Maxwell Drive, Woodmead, Johannesburg, 2191.

3. Records available without a formal request

Our public terms, privacy notice, refund policy, guardian notice, business contact details and this manual can be read, saved or printed from the website. Published pricing and public product information can also be read without a PAIA request. Logged-in users can access their own available chats, lessons, usage and payment history through the app. Public access does not include another learner's private records.

4. Categories of records we hold

SubjectExamples of records
Accounts and consentProfile and provider identifiers, sign-in records, age band, guardian declarations, notice delivery and withdrawal records, and agreement editions.
Educational serviceChats, uploads, extracted text, generated lessons, diagrams and user feedback.
Purchases and financePayment references, receipts, allowances, usage, costs, refunds, disputes and relevant accounting records.
ReferralsInvitation codes, linked accounts, qualifying purchases and reward records.
Operations and securityService settings, technical logs, error reports, access controls and incident records.
Business administrationProvider agreements, business registration records where applicable, support correspondence and legal requests.

Listing a category does not mean every record in it exists or is automatically accessible. Access depends on the request, applicable rights and the grounds for protection or refusal in PAIA. We are not required to create a record that we do not hold.

5. Records connected with other legislation

Records relevant to our activities may be retained under POPIA, PAIA, the Electronic Communications and Transactions Act, the Consumer Protection Act and the Tax Administration Act. Company and VAT records are subject to the Companies Act and VAT Act where those laws apply to the operator. This list does not make tax, company or third-party information public; each access request is assessed under the applicable law.

6. Requesting a record

  1. Use the current PAIA Form 2 from the Regulator's forms page.
  2. Identify the record sufficiently for us to find it, the right you seek to exercise or protect, and why the record is required for that purpose.
  3. Give your contact details, preferred form of access and evidence of your authority if requesting on someone else's behalf.
  4. Send the request to our Information Officer using the email or physical address above. Ask for assistance if disability, literacy or another access barrier makes the standard process difficult.

We assess requests under section 50 and the other applicable PAIA provisions, including protection of third-party privacy, legally privileged information and other protected records. Where feasible, access to an unprotected part can be considered separately.

We ordinarily communicate a decision within 30 days after receiving the request. A permitted extension of up to a further 30 days requires notice with reasons and information about your right to challenge it. Failure to respond within the applicable period may be treated as a refusal.

7. Fees and challenging a decision

Only fees permitted by PAIA and its current regulations may be charged, subject to applicable exemptions. We will explain any request, search, copying or deposit fee before it becomes payable. The Regulator's PAIA resources provide the current forms and fee information. You may challenge a fee or refusal.

PAIA does not provide an internal statutory appeal against a private body's decision. You may complain to the Information Regulator using the prescribed Form 5 and applicable procedure, generally within 180 days of the decision or deemed refusal, or seek appropriate court relief within the applicable period. The Regulator can explain the available route. PAIA complaints can be sent to PAIAComplaints@inforegulator.org.za or through eServices.

8. Personal information

We process information about learners, account holders, guardians, purchasers, people who contact us and service-provider contacts to run the service, administer purchases, maintain security and meet legal duties. Account, study, transaction, consent and technical information are the main categories. The privacy notice explains each purpose, recipients, foreign processing, retention, safeguards and rights in more detail and forms part of this manual.

Recipients include sign-in, hosting, storage, security, AI, payment, transactional email and PDF-conversion providers and authorised personnel or advisers where needed. Processing can occur outside South Africa, including the EU and US. Access controls, encrypted service connections and private file storage are among the technical safeguards; they do not make every record immune to a security incident.

POPIA requests to confirm, access, correct or delete your own personal information, or to object or withdraw consent, can be directed to the Information Officer. Reasonable identity or authority checks apply. We will explain the applicable process; you need not guess a record name or send unnecessary identity documents simply to ask for help.

9. Availability and maintenance

This manual is available free on this website and can be saved or printed. Ask the Information Officer about inspection at the business address, copies or assistance with an accessible format. The Information Officer maintains the manual as the business and its records change. Its edition appears above.
